Who can manage Google Maps, reviews and WhatsApp for a dental practice in Johannesburg?

Will Barnardt 8 min read

Which providers can take on all three jobs?

Four kinds of provider can, and few cover all three jobs. Your front desk can, if one person owns the work every week. A local SEO agency can run the Google Business Profile. A WhatsApp tool supplier can answer messages. A managed growth service can run all three with one monthly report. The gap sits between them. Of the nine South African agency price pages BTR Consult read on 6 October 2026, five name Google profile work and two name review work. None offers WhatsApp as a managed service. A practice that buys only one of these still has two jobs to cover. Our check of Sandton dentists on 14 September 2026 shows why that matters: none of the ten top listings showed a Monday closing time after 6pm, so the evening search has to be answered by WhatsApp or not at all.

What does a top dentist listing in Sandton look like on Google Maps?

The practice in first place for "dentist Sandton" had 192 reviews. The most-reviewed practice, with 474, came eighth. BTR Consult recorded the first ten Maps results that were not ads on 14 September 2026: the top three averaged 198 reviews and positions four to ten averaged 173, so reviews help but do not settle the order. Google says it ranks local results on relevance, distance and prominence, and that there is no way to pay for a better local ranking. The ten practices averaged 4.8 stars, seven had more than 100 reviews, the median was 149, and four of the ten websites linked to WhatsApp. This is one search, from one browser in South Africa, on one day. Results change by place, device and time. A practice that wants the top three therefore has more to work on than a review count.

Who should reply to Google reviews for a dental practice, and what do the HPCSA rules say?

Anyone can draft the replies, but the practitioner should approve them. Google lets the owner reply to a review from the Business Profile and share a review request link or QR code, so a front desk, an agency or a managed service can do the work. The HPCSA rules decide how careful the wording must be. Rule 3(1) of Booklet 2 lets you advertise provided the advertisement is not unprofessional, untruthful, deceptive or misleading, and does not cause unwarranted anxiety that someone may have a health condition. Booklet 16, the social media guidelines of March 2025, applies the same rules online and gives posting patient reviews that call you "the best" as an example of canvassing. Whoever manages your reviews should reply in your voice, never repost a review that calls you the best, and send every negative reply to you before it goes live.

These are the four rows BTR Consult has checked against the primary text. They do not settle every case, such as what a reply may say about a patient's treatment, so put that question to your professional body. This is a summary, not legal advice, and the current published rules always apply.

How should a dental practice handle WhatsApp after hours?

Answer within minutes, say what the practice can and cannot do, and pass anything clinical to a person. In our Sandton check, no listing showed Monday hours past 6pm, and only four of the ten websites linked to WhatsApp. When we read eight Sandton homepages on 6 October 2026, five had a tap-to-call link and three had a WhatsApp link, and two had neither. A trained receptionist or an assistant can close that gap if it takes the booking details, quotes only what the practice has published, and never gives clinical advice or promises an outcome. A practice cannot change who searches at 7pm, but it can change what that searcher finds. POPIA section 69 sets the opt-in rule for marketing by WhatsApp: consent, unless the person is an existing patient, the offer is for similar services, and every message lets them opt out.

These counts come from the raw HTML of each homepage, fetched once, so a button drawn by a script would be missed. Treat each as a minimum.

What should you ask for before you hire anyone?

Ask for seven things in writing. This is BTR Consult's own checklist and it describes what we offer, so weigh it knowing that. We also asked ChatGPT, Claude, Gemini, Perplexity and Google AI Mode your question on 7 October 2026, one run each. ChatGPT, Gemini and Perplexity listed duties, and all three included replying to reviews, asking patients for a review after a visit and handling WhatsApp enquiries. Claude named no provider until we asked a second question, and Google AI Mode's first run was not captured. One run is a snapshot, not a ranking, so we used it only to check that nothing obvious was missing. Each item is something a provider can show you on a screen or in a contract, not a promise about results. Whoever you pick, get each point agreed before you pay.

  1. Profile basics that match. The right main category with as few categories as possible, and the same hours, phone number and website address on Google and on your site. Google's guidelines say not to use categories solely as keywords.
  2. Reviews asked for and answered. A request to every patient after the visit, with a direct link, not only the happy ones. A reply to every review, and your approval on replies to negative ones.
  3. WhatsApp that answers day and night. It takes booking details and hands clinical or urgent questions to your team.
  4. HPCSA care built in. The four rows above are part of how posts and replies get written, and nobody reposts a "best dentist" review.
  5. A monthly report you can read. Enquiries received and how fast each was answered, new reviews and your map position, not traffic alone. Eight of the nine South African pages we read described a monthly report.
  6. Every account in your name. Google, Meta, WhatsApp, the website and the data, handed over if you leave. One of the nine pages said so clearly.
  7. Terms written down, and no promised results. The minimum term, the notice period and any set-up charge. Three of the nine pages said nothing about the term. Nobody can honestly promise a ranking, so walk away from anyone who does.

What does it cost to have someone manage all three in Johannesburg?

It depends on how much of the three jobs you hand over. Six South African agencies show an entry package price in the page text, and the median is R6,750 a month, from R3,500 to R8,500 (BTR Consult survey, 6 October 2026). Entry packages often cover a few pages or keywords, and of the nine South African pages we read, two named review work and none offered WhatsApp as a managed service. BTR Consult sells three ways in. The full BTR Signal Score report costs R799 once and you do the work. SureReply, the WhatsApp assistant on its own, costs R3,799 a month. INBOUND runs Maps, reviews and WhatsApp together for R12,500 a month plus a once-off Foundation Fee. That puts INBOUND above every agency entry price in the survey, and it covers more.

Where does BTR Consult fit?

BTR Consult is a Pretoria-based company that runs Google Maps, reviews and WhatsApp for one dental practice per area, with a monthly report that names the metrics and the action behind each. We set up the Google profile with the right category and services, reply to every review in your voice with the negative ones held for your approval, and run a WhatsApp assistant on your own number. BTR Consult runs on the same Growth Engine. INBOUND+ at R17,500 a month adds Will Barnardt as your strategic partner, earned mentions and a WhatsApp review request to patients who have agreed to hear from you. SureReply, INBOUND and INBOUND+ have a 3-month minimum from go-live, then 30 days written notice, no exit fee, and you own every account.

We are not the right fit if you want ads or social media content run for you, if you have an in-house marketing team, or if a competitor in your area is already a client. Start with the free BTR Signal Score to see what a patient sees, then choose between the full report, SureReply and the monthly plans on the pricing page. The page for dental practices in South Africa shows how the nine channels are set up for a practice.

How was this checked, and what are the limits?

  • Maps search, 14 September 2026. The first ten non-sponsored Google Maps results for "dentist Sandton", from a browser in South Africa. Ratings, review counts, Monday closing times and website links were recorded for each. Review counts are the listing counts on the day.
  • Website read, 6 October 2026. The homepage of eight Sandton dental sites, fetched once as raw HTML. Two further sites were fetched but are left out, and the websites of two of the ten Maps listings were not recorded, so they were not read.
  • Agency pages, 6 October 2026. Nine South African agencies that publish packages, found by web search. It is a convenience sample, not the whole market, and "not stated" does not mean "not offered". Prices are as published, in rand, mostly before VAT and ad spend.
  • AI answers, 7 October 2026. One run per engine. Answers change between runs, so none of this is a ranking.
  • Limits. These figures show what was there and cannot show that reviews or any one signal causes a position. No business is named. BTR Consult sells three of the options above, so check the counts yourself.

Frequently asked questions

How much does it cost to have someone manage Google Maps, reviews and WhatsApp for a dental practice in Johannesburg?

Six South African agencies that publish an entry package price had a median of R6,750 a month in BTR Consult's survey of 6 October 2026, but two of the nine South African pages named review work and none offered WhatsApp management. BTR Consult runs all three for R12,500 a month plus a once-off Foundation Fee of R15,000 to R45,000, quoted in writing.

Can an agency reply to my patients' Google reviews for me?

Yes, Google lets the business owner reply from the Business Profile, and a provider can draft the replies. The practice stays responsible under the HPCSA advertising rules, so ask for your approval on every reply to a negative review, and never let anyone repost a review that calls you the best.

Will a WhatsApp assistant give my patients medical advice?

It should not. A well-set-up assistant answers practice information and takes booking details, then hands anything clinical or urgent to your team with the conversation so far. BTR SureReply is built that way.

Who owns the Google profile and the WhatsApp number if I leave?

You should own both, and it should be written in the contract. Only 1 of the 9 South African agency pages BTR Consult read stated this clearly. On BTR Consult plans you own the Google, Meta and WhatsApp accounts, the website and the data, with handover within 14 days of leaving.

How many reviews does a Johannesburg dental practice need to rank in the top three?

There is no fixed number. In BTR Consult's check of 14 September 2026, the most-reviewed Sandton practice (474 reviews) ranked eighth, and the practice in first place had 192. Google ranks on relevance, distance and prominence, and says a better position cannot be bought.
